What should my client know before picking up the rental vehicle?

Essential Information for Clients Before Vehicle Pick-up

As a travel agent, your role is to ensure the client arrives at the rental counter fully prepared. To avoid surprises and ensure a smooth start to their journey, please share these critical requirements and tips with your clients.

1. Credit Card Requirements & Security Deposit

The most important requirement at the rental counter is a valid physical credit card.

  • Ownership: The credit card must be in the name of the primary driver (the person named on the reservation).
  • Available Funds: The card must have a sufficient limit to cover:
    • The total cost of the rental (if not prepaid).
    • A security deposit (Excess/Liability amount).
  • Super Cover Note: Even if the client has purchased Super Cover (reducing liability to zero), a smaller security deposit (typically between €200–€300) will still be blocked to cover potential rental extensions, fuel, or other incidental charges.

2. At the Rental Counter: Additional Offers

Upon arrival, Hertz staff may offer your clients optional services. Clients should be aware of:

  • Premium Emergency Roadside Service (PERS): Assistance for "driver-fault" incidents like lost keys or flat batteries.
  • Personal Accident Insurance (PAI): Additional coverage for the driver and passengers.
  • Vehicle Upgrades: The option to upgrade to a higher car category for an additional daily fee.
  • Important: Advise your clients to carefully review the rental agreement before signing. They should ensure that the final amounts and selected services match their expectations and your original reservation.

3. Document Checklist

Ensure your client has the following documents ready to present:

  1. Valid Driver’s License (and an International Driving Permit if required by the destination).
  2. Passport or National Identity Card.
  3. The physical Credit Card used for the booking.
  4. Travel Voucher (either Full Credit or Limited Value).

4. Vehicle Inspection

Before driving away, the client should always inspect the vehicle for any existing scratches or damage and ensure they are correctly noted on the rental document.
