Payment Methods and Voucher Policies
To ensure a successful vehicle pick-up for your clients, it is vital to follow the payment and documentation rules. The requirements vary depending on the destination and the type of vehicle booked.
1. General Payment Requirements
- Identity Match: The person named on the reservation must be the primary driver. They must be present at the counter and provide a payment card in their own name.
- Security Verification: For anti-fraud purposes, the client must present the same card used for the booking. If that card has been replaced, the new card must be from the same issuer and show the same legal name.
- Accepted Card Types: Most locations accept major credit cards. Debit cards are accepted in many locations, but they often come with additional requirements, such as presenting a return flight ticket or an additional credit card.
- Prohibited Cards: Prepaid cards, reloadable cards (e.g., Revolut, PayPal), virtual cards, and cards marked "Electronic Use Only" (Maestro/Electron) are generally not accepted for security deposits.
2. Travel Agency Vouchers
When you issue a voucher for your client, the requirements at the rental desk change based on the voucher type:
A. Full Credit Voucher (FCV) / One Trip Travel Order (OTTO)
- What it means: The agency covers the rental costs and potentially other charges.
- Credit Card Requirement: Even with a Full Credit Voucher, the client is often required to present a personal credit card for the security deposit (Excess).
- Important Exceptions: In many countries (such as the USA), only Full Credit Vouchers are accepted. However, in regions like Scandinavia and Ireland, a personal credit card is almost always mandatory at the counter, even if an FCV is provided.
B. Limited Value / Inclusive Tour (ITV) / MCO Vouchers
- What it means: These vouchers have a fixed value or cover specific parts of the rental.
- Mandatory: The client must always provide a valid, personal credit card to cover the security deposit and any extras not included in the voucher.
3. High-Value Vehicles
For premium or luxury vehicle categories, the security requirements are stricter:
- Multiple Cards: Locations often require two separate major credit cards in the primary driver's name.
- Backup Documentation: In some cases, a single premium credit card plus a return flight ticket may be accepted.
Agent Checklist for Clients:
- Physical Card: Ensure the client has a physical (not virtual) credit card.
- Credit vs. Debit: Advise the client that a Credit Card is always the safest and most accepted option for the deposit.
- Documentation: The client should carry a valid Passport or ID card alongside their Driver’s License to match the payment card details.
